<nw:body>&amp;lt;span style="font-size: 13px; color: #ff0000;"&amp;gt;&amp;lt;strong&amp;gt;Step 1:&amp;nbsp; Establish tone and style&amp;lt;/strong&amp;gt;&amp;lt;/span&amp;gt;&amp;lt;br /&amp;gt;Tone and voice should be established before you publish a newsletter, and should tie into the overall communications strategy.&amp;nbsp; Do your articles need to be similar in tone to the content presented on your website, or indeed to the content you present in your other company marketing materials?&amp;nbsp; If so read on...&amp;lt;br /&amp;gt;&amp;lt;br /&amp;gt;The two most common tone choices:&amp;lt;br /&amp;gt;&amp;lt;br /&amp;gt;&amp;lt;em&amp;gt;Casual:&amp;nbsp;&amp;lt;/em&amp;gt;&amp;nbsp; Making your newsletter personal and conveying information to the reader in a more casual style can really engage your readers. For example, reflections by the CEO are more casual than an article about the CEO. Also, a case written in the first person, by someone who has successfully used your products and services is a good example of engaging potential customers.&amp;lt;br /&amp;gt;&amp;lt;br /&amp;gt;&amp;lt;em&amp;gt;Formal:&amp;nbsp; &amp;lt;/em&amp;gt;We&amp;rsquo;re not talking cold and clinical here &amp;ndash; we&amp;rsquo;re talking about conveying more of a virtually warm, yet business-like handshake to your readers. You are conveying the information they need &amp;ndash; in a timely, easy-to-read manner. You can open with an informal welcome from the editor, while still providing the necessary facts and figures in the accompanying articles.&amp;lt;br /&amp;gt;&amp;lt;br /&amp;gt;Mix it up!&amp;nbsp; Many newsletters mix their style and tone based on what the article needs to convey. For example the newsletter could include a casual letter from the editor written in the first person.&amp;nbsp; It could also include a more formal letter from management as well as a case study written in a friendly Q&amp;amp;A style, with personal fun questions mixed in.&amp;lt;br /&amp;gt;&amp;lt;br /&amp;gt;&amp;lt;span style="color: #ff0000; font-size: 13px;"&amp;gt;&amp;lt;strong&amp;gt;Step 2:&amp;nbsp; Select relevant images to accompany articles&amp;lt;/strong&amp;gt;&amp;lt;/span&amp;gt;&amp;lt;br /&amp;gt;In today&amp;rsquo;s inbox it is quite possible that your email will be viewed with images off. But don&amp;rsquo;t stop using images &amp;ndash; they&amp;rsquo;re an important part of adding interest to the article, getting attention and engaging with your readers.&amp;nbsp; Here are some tips for using images:&amp;lt;br /&amp;gt;&amp;lt;ul&amp;gt;&amp;lt;li&amp;gt;Pick images that compliment the article and draw the readers into the article; don&amp;rsquo;t forget to use images that match the tone and style of your articles.&amp;lt;/li&amp;gt;&amp;lt;li&amp;gt;Take care not to populate your newsletter with only stock images. If you do use them, select ones that highlight the actual meaning of the content.&amp;nbsp;&amp;lt;/li&amp;gt;&amp;lt;li&amp;gt;Your article should include a reference to any photos &amp;ndash; noting details about the photo and who appears in it. This lets readers know what they&amp;rsquo;re missing and encourages them to turn on the images.&amp;lt;/li&amp;gt;&amp;lt;li&amp;gt;Fill in the alt tag with a short description of the image, and also give your image a name that is relevant (such as companypicnic.jpg). This will inform people of what the image is, should they have images turned off.&amp;lt;/li&amp;gt;&amp;lt;/ul&amp;gt;&amp;lt;span style="color: #ff0000; font-size: 13px;"&amp;gt;&amp;lt;strong&amp;gt;Step 3:&amp;nbsp; Make content scannable&amp;nbsp; &amp;lt;/strong&amp;gt;&amp;lt;/span&amp;gt;&amp;lt;br /&amp;gt;In writing and assembling your newsletter, remember people scan emails and make decisions in seconds whether to engage (click) or not.&amp;nbsp; To encourage engagement with your content:&amp;lt;br /&amp;gt;&amp;lt;ul&amp;gt;&amp;lt;li&amp;gt;Write and lay out your articles so they are easy to scan. Try to stay within 25-50 word paragraphs, otherwise the text will appear dense and can&amp;rsquo;t be scanned.&amp;lt;/li&amp;gt;&amp;lt;li&amp;gt;Make use of bullet points, italics and white space to draw attention to the most important takeaways in your article.&amp;lt;/li&amp;gt;&amp;lt;li&amp;gt;Use your synopsis or summary as an opportunity to sell the sizzle of the article, which turns into a click to read the full article. Keep it brief - under 45 words, and avoid simply copying and pasting the first paragraph of the article as the summary.&amp;lt;/li&amp;gt;&amp;lt;li&amp;gt;Make the most of article titles to help guide your reader to the summary &amp;ndash; which will lead them to &amp;lsquo;read more.&amp;rsquo;&amp;lt;/li&amp;gt;&amp;lt;/ul&amp;gt;&amp;lt;span style="color: #ff0000; font-size: 13px;"&amp;gt;&amp;lt;strong&amp;gt;Step 4:&amp;nbsp; Check grammar and spelling&amp;lt;/strong&amp;gt;&amp;lt;/span&amp;gt;&amp;lt;br /&amp;gt;Don&amp;rsquo;t forget to spell check and grammar check. This is an important element of creating trust and branding with your readers, you want to come across as professional.&amp;nbsp; Your sign off process should include:&amp;lt;br /&amp;gt;&amp;lt;ul&amp;gt;&amp;lt;li&amp;gt;Create your copy in a word document, and use the spelling and grammar checker to catch misspellings.&amp;lt;/li&amp;gt;&amp;lt;li&amp;gt;Print off a copy of the article. Reading an article in this way can help you spot grammar and spelling that might not be spotted from a screen. Add an Image using the Image Placeholder&amp;lt;/strong&amp;gt;&amp;lt;/span&amp;gt;&amp;lt;br /&amp;gt;&amp;lt;br /&amp;gt;The image placeholder allows you to add one image to the summary of the article and one image within the full story.&amp;nbsp; The image you see to the top right of this article was input using the Image Placeholder.&amp;lt;br /&amp;gt;&amp;lt;br /&amp;gt;Tthe Summary (front page) images are set to appear to the right or the left of the text and are automatically resized to between 100-120px in width.&amp;nbsp;&amp;nbsp; they can be to the left or the right of the text or in between paragraphs etc&amp;lt;/li&amp;gt;&amp;lt;li&amp;gt;You can add more than one image into the editable content area of the Summary or Full Story&amp;lt;/li&amp;gt;&amp;lt;/ol&amp;gt;&amp;lt;p&amp;gt;Don't forget, you can resize or crop images using the Image Editor function within your Newsweaver account.&amp;lt;/p&amp;gt;&amp;lt;table border="0"&amp;gt;&amp;lt;tbody&amp;gt;&amp;lt;tr&amp;gt;&amp;lt;td style="text-align: center;"&amp;gt;&amp;lt;span style="color: #ff0000; A relatively new organisation, it had a directive to produce a content rich &amp;lt;a href="http://www.businessofemail.com/1u20bqxzita"&amp;gt;email newsletter&amp;lt;/a&amp;gt; for internal communications. The SFPA selected Newsweaver&amp;rsquo;s unique microsite technology to produce and send multi-page email newsletters to all staff and offices located around the country.&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;&amp;nbsp;&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;&amp;lt;b&amp;gt;Challenge:&amp;lt;/b&amp;gt;&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;&amp;nbsp;&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;The SFPA needed to ensure that relevant internal news was disseminated in a timely fashion to staff. &amp;nbsp;Eleanor Buckley, Communications Manager for SFPA says they were looking for a solution that allowed them to get information out quickly and reduce the volume of emails sent. SFPA selected Newsweaver because email newsletters address the challenges of lessening lead times and reducing emails. Eleanor says Newsweaver also provided a unique microsite technology, which lets SFPA create as many back pages as are needed for an issue.&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;&amp;nbsp;&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;&amp;lt;b&amp;gt;Solution:&amp;lt;/b&amp;gt;&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;&amp;nbsp;&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;By using a microsite for their email newsletter, SFPA can put as many articles as they want into each issue.&amp;nbsp;The front page features article summaries, with a link for each that takes readers to a specific article located on a back page of the newsletter&amp;rsquo;s microsite. No additional IT help is required &amp;ndash; as article back pages are automatically generated as needed.&amp;nbsp;This &amp;lsquo;walled garden&amp;rsquo; environment keeps readers within the email newsletter pages, and encourages multiple article readership. An additional benefit of the microsite is that multimedia, such as videos and photos, are easy to embed into the newsletter&amp;rsquo;s back pages.&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;&amp;nbsp;&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;&amp;lt;b&amp;gt;Results:&amp;lt;/b&amp;gt;&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;&amp;nbsp;&amp;lt;/div&amp;gt;&amp;lt;div&amp;gt;SFPA first ran a pilot project to get feedback, identify content sources, create an editorial team and build a strategy for going forward.&amp;nbsp;They then launched a monthly email newsletter.&amp;nbsp;Almost a year later and engagement remains impressive. Open rates have been consistently above 60%. The SFPA has taken advantage of Newsweaver&amp;rsquo;s report system to track activity over several issues and have found that almost 90% of readers open at least one in three issues. In addition, most subscribers read three or more articles (out of seven offered) in every newsletter.
